General Terms and Conditions for The King’s Foundation Education Programmes
1. Introduction
1.1 These terms and conditions (“Terms”) govern the booking and payment process for the education programmes (“Programmes”) provided by The King’s Foundation (“the charity”, “we,” “us,” or “our”).
1.2 By booking a Programme, you (“the Customer”) agree to comply with these Terms. Please read them carefully before booking.
2. Booking and Registration
2.1 Bookings can be made online via our website, on our booking platform (DigiTickets), by phone, by email or in person.
2.2 Your booking is confirmed upon receipt of a confirmation email or written confirmation from us.
2.3 We reserve the right to decline a booking at our sole discretion.
3. Fees and Payment
3.1 All fees for the Programmes (“Fees”) are listed on our website and/or booking platform and are subject to change without prior notice.
3.2 See Terms and Conditions for individual Programmes for specifications on payment policies.
3.3 Failure to make payment by the specified due date may result in cancellation of your booking.
4. Cancellations and Refunds
4.1 Cancellations by You
4.1.1 If you wish to cancel your booking, please email us. Our refund policies for individual Programmes may vary.
4.2 Cancellations by Us
4.2.1 We reserve the right to cancel or reschedule any Programme due to insufficient enrolment or unforeseen circumstances.
4.2.2 In the event of a cancellation by us, you will be offered a full refund or the option to transfer to another date or Programme.
5. Programme Changes
5.1 We reserve the right to make changes to the Programme content, schedule, or instructors where necessary.
5.2 Any material changes will be communicated to you as soon as possible.
6. Code of Conduct
6.1 Participants are expected to conduct themselves in a respectful and professional manner.
6.2 We reserve the right to remove any participant whose behaviour is deemed disruptive, inappropriate, or unsafe. No refund will be provided in such cases.
7. Liability
7.1 We are not responsible for any personal property lost or damaged during any of our Programmes.
7.2 Our liability for any claim arising from a Programme is limited to the amount of the Fees paid.
7.3 Nothing in these Terms limits liability for death or personal injury caused by negligence.
8. Data Protection
8.1 By booking a Programme, you agree to our use of your personal data in accordance with our Privacy Policy.
8.2 Your data will not be shared with third parties without your consent, except as required by law.
9. Intellectual Property
9.1 All materials provided during a Programme remain the intellectual property of The King’s Foundation.
9.2 You may not reproduce, distribute, or use such materials without prior written consent.
10. Governing Law and Disputes
10.1 These Terms are governed by the laws of England and Wales.
10.2 Any disputes arising under these Terms will be resolved in the jurisdiction of the English courts.

Terms and Conditions for The King’s Foundation Education Programmes taking place at Dumfries House
1. Introduction
1.1 These terms and conditions (“Terms”) govern the booking and payment process for the education programmes at Dumfries House (“Programmes”) provided by The King’s Foundation (“the charity”, “we,” “us,” or “our”).
1.2 These Terms should be read in conjunction with our general Terms and Conditions.
2. Booking process
2.1 Bookings can be made online via our website, on our booking platform (DigiTickets), by phone, by email or in person.
2.2 The Charity reserves the right to increase or decrease published prices at any time. The cost of your visit or course will be stated when your booking is confirmed but may be subject to change until you receive the final invoice.
3. Fees and Payments
3.1 For school bookings, we do not charge at the point of booking. Schools can expect to receive an invoice from our finance team after booking is confirmed, with prices that are detailed on the website and booking platform, based on numbers provided at the time of booking. Payment must be made prior to the workshop taking place. If you bring additional pupils on the day, you will receive a further invoice to cover any additional material costs. We cannot offer refunds to schools bringing fewer pupils than stated at point of booking.
3.2 We accept payments by bank transfer and cheque, and, where applicable, credit or debit card.

3.3 When making a payment of any kind, please refer to your invoice number and school/organisation name. All prices quoted are inclusive of VAT at the rate prevailing when the booking is confirmed. The rate is subject to change without notice and chargeable to you should a change in the rate of VAT occur.
Cancellations
4.1 Cancellations by You
4.1.1 If you wish to cancel your booking, please email us.
4.1.2 Refunds for cancellations will be made as follows:
• Cancellations received 14 days or more before the start date of the Programme: full refund.
• Cancellations received less than 14 before the start date: no refund.
4.2 Cancellations by Us
4.2.1 We reserve the right to cancel or reschedule any Programme due to insufficient enrolment or unforeseen circumstances.
4.2.2 If having made full payment, The King’s Foundation or visiting group have to cancel the visit due to adverse weather conditions or other extenuating circumstances then a refund or alternative date will be offered. The King’s Foundation may very occasionally have to reschedule your booking in the case of another Estate activity taking priority or due to circumstances beyond control. You will be given advance notice of this and a choice of alternative dates. Should the dates not suit, a full refund will be given.
4. Insurance
4.1 Our Centres are covered by public liability insurance.
4.2 We do not hold insurance in respect of any of your personal possessions and are not responsible for any loss or damage to personal property.
4.3 We recommend you or the attendees take out appropriate insurance to safeguard against risks such as theft, accident, or the cost of cancelling the visit (including cancelling for medical reasons).
5. Safeguarding
5.1 The Charity follows accepted good practice in the matter of safeguarding children, young people and vulnerable adults. Our policy is available on request. All Educational tutors and instructors are members of the Protecting Vulnerable Groups (PVG) Scheme.
6. Photography and Filming
6.1 Our media team may take photographs and videos for promotional and training purposes. Photographs and film of guests (personal data) taken during your visit to one of our Centres may be used in future publicity, including printed material, websites and social media.
6.2 If parents/guardians do not want their child to appear in these, the Dumfries House Education Office must be informed in advance of arrival at the Centre. Verbal permission will be sought on-site before any photographs or filming is made and we will make sure group leaders/guardians and children are aware this is happening and the context the photo or video will be used. Photo permission forms will be sent out in advance of a workshop to applicable groups. If you have any members in your group who do not wish to be photographed this should be indicated on the form and returned prior to you visit.
6.3 We will not post photographs on social media while your group is still with us, unless your group has already done so (when we may then re-tweet or share your images).
7. Data Protection
7.1 Please see our Privacy Policy for more information in how we protect your data.
8. Complaints
8.1 In the unlikely event that you have a complaint about any aspect of your visit while you are with us, please inform the Dumfries House Education team or the member of staff present as soon as possible, so that steps can be taken to rectify the problem. Should you feel that a complaint has not been resolved satisfactorily please email dh.education@kings-foundation.org
9. Responsibility
9.1 It is the responsibility of the group leader, parent, guardian or any individual with primary duty of care to inform the team, in advance, of any special needs, dietary issues, illness, medical conditions, allergies and disabilities, behavioural or social problems any group member currently has or has recently experienced.
9.2 This is to protect the well-being of the individual concerned, as well as other guests. Except for activities organised by Dumfries House Education staff, groups are always the responsibility of their own leaders/teachers. In the unfortunate circumstances of anyone disrupting an event through behavioural or social difficulties which affect other guests’ enjoyment, we reserve the right to exclude that individual at any point during the event if a breach of the code of conduct occurs.
9.3 No refund will be given, and collection of the individual will be the responsibility of the group leader, parent or person with primary duty of care.
10. Damage
10.1 The Customer is responsible for the cost of repairs to any damage to equipment and/or property caused by members of the group outside of normal wear and tear. Should damage occur this will be raised with the group leader as soon as possible or the group leader should highlight to a member of staff. An invoice will be issued for the cost of repairs in a due course.
11. Limitation of Liability
11.1 The Charity’s liability to the Customer and the attendees shall be limited to the level of insurance cover available to the Charity in respect of the claim which is made. The Charity shall have no liability to the Customer, any attendee or any third party in respect of any costs or claims arising in respect of this Agreement or otherwise.
11.2 Noting in this Agreement shall restrict the liability for any party in respect of death or personal injury caused by the negligence of a Party or an attendee.
11.3 For the avoidance of doubt this is not a lease nor a licence to occupy and the Customer does not obtain any rights over the Centres or the land on which the Programmes take place by entering into this Agreement.
12. Code of Conduct
Accompanying adults are responsible for pupil behaviour at all times. Please read our Code of Conduct.
